BOOKS™ includes an automated backup utility for your data that will perform multi-disk backups automatically to floppy disks.. Since you no longer have tickets to store, keep copies of old backups for archival purposes. Check with the compliance department of your firm for requirements concerning archival copies. Back up to your hard drive at the end of each day. At the end of each week, do two additional BOOKS back ups to floppy, even if you have a tape drive that you use to back up data for all your programs. Store one set off premises. Put the second set in your office away from the computer that you back up. Recycle (reuse) your fourth oldest backup diskette sets, but you should not recycle the off-site set made at the end of each month. We recommend that you keep these indefinitely in case of litigation.
Use the File Utility Delete Backup File command to delete unneeded backup files on your hard drive. Each backup to the hard drive takes several MB of hard drive space, so delete backups older than your second oldest diskette backup. To Backup: Click on File or press ALT+ F. Press B or click on Backup. BOOKS™ will display a standard Windows Save As Window, with the name of your backup file already suggested. By default, Backup saves to your same drive and directory, usually C:\BOOKS. Choose the drive (at the lower right of the Save As Window) and directory that you want to use to save your backup file, then click on OK. BOOKS automatically creates Backup file names in the form BYYMDDX.BBK. where YY is the Year, M is the month 1 to 9 for January to September, O, N, or D for October, November, or December respectively, DD is the day, and X is any letter A through Z. For the first Backup you do on a given day, the last letter will be A, then the second will be B, etc. For example, your second backup on July 19, 1998 would be stored in a file named B98719B.BBK. If you are backing up to a floppy drive, and your back up is too large for one diskette, BOOKS™ will automatically prompt you to insert a new diskette, and tell you what to label each diskette. Restoring Backup Files WARNING! RESTORING FROM BACKUP WRITES OVER YOUR CURRENT FILES. THIS MEANS THAT DATA ENTERED AFTER THE BACKUP WAS MADE WILL BE LOST. Click on Files then on Utilities, then on Restore from Backup. BOOKS™ will display a list of all backup files in your current directory. To restore from a floppy diskette, click on the drive field, and click on the drive that you want. BOOKS™ will then display all backup files on the diskette. Click on the desired file, then click on OK. BOOKS™ will start restoring you data. When the restore operation is complete, a banner with the message "Restore from Backup file xxxx Complete" will appear.
