Export The Export Command records all changes to your data since your last Export, and is the way that Advisors can give their Branch Manager, or Branch Mangers can give their home offices, updates of their BOOKS files. Since they list only changes, Export files are much smaller than Backup files and will usually fit on a single diskette. In multi-site branches with OSJ status, the Branch can receive daily updates from the satellites by attaching Export files to an e-mail message. The Branch would then use the Import command to bring the files into the Branch Master file. Note that you cannot import data until you have the Advisor number entered into your copy of the BOOKS program. Use the Advisors Add an Advisor command to add the advisor to your list. To Export, click on File, then on Export. After "Working" the Save As dialog will appear. Export automatically exports to the C:\books directory. Change the drive and directory if desired, then click on OK. Do not change the file name, as it will make it virtually impossible to import the data if you do. BOOKS™ will go through your entire data file, and export orders that have not previously been exported, and changes to accounts and reps as long as there has been at least one order for that account or advisor since the last export. If you have changed an account address or telephone number, but there has been no order for that account, your changes will not be exported. A manual export that includes an order for that account will export the changes. Export does not export orders that have been written but which have not been entered. It checks for this by looking at the Order Taker field. Until the order has been given to a human being or sent over the wire, it is not an order to be exported. Repeat Last Export If something is wrong with your last export, due to a damaged diskette, for example, you can repeat the last export with this command. Click on File, then click on Utilities, then on Repeat Last Export. From this point, follow the same procedure as for the regular export command. Manual Export An export file can be lost or misplaced. Manual Export allows you to export any or all orders AFTER a certain date. Click on File, then on Utilities then on Manual Export. When the Choose an Order to Export dialog appears, choose the orders that you want to export by pressing the spacebar while the order is highlighted. Repeat for as many orders as you wish, or type in a date to export all orders AFTER that date. Click on OK. The Save As dialog will appear. Designate the drive and directory that you want, then click on OK. Your orders will be exported.
