BOOKS Toolkit (Continued)

Restores any orders that you have deleted since the last time you used the File Utilities Cleanup Command. Use it to retrieve orders that you deleted by mistake. Note that the Order Delete command causes orders to disappear from all BOOKSTM screens. However, the orders are not permanently deleted until you use the File Utilities Cleanup Command. Thus Undelete restores any records you deleted after the last time you used Cleanup.
Orders  Update Names
Updates every order record by replacing the then current account name with the Sort Name. It is useful if you did not enter Sort Names on some of your accounts, and you wish to tidy up your records.
Orders Update Descriptions

This command updates every order by replacing the Security Description with the current Security Description. This is useful when a company changes its name but keeps the same symbol.
Update Symbols
This command replaces the symbol for a security in every order where that symbol appears. Please do a file backup before running this command, as you can make a serious error with it. You must give BOOKS™ both the old and new symbols. The command does not change the symbol in the Security Record. After this command has been completed, use Edit a Securities Record to change the Symbol in the record.
Purge Balance Records

This command purges ALL balance records for a particular rep. It does not purge Account records. It can be used if you do not need to produce cross-reference pages or  account  position pages for a particular rep.
Update Sort Names
Click on Accounts then Update Sort Names. This command makes Sort Names for all accounts that do not have them.  Check the results when it is finished, since the algorithim has trouble telling the difference between an IRA account and a person named Ira if the name has been entered in all capital letters.
Delete Account
Click on Accounts, then Delete an Account.  Use this command to delete a corrupted account file. After removing the file, you can add it back by using the Accounts Add Account command in BOOKS™.
Delete a Rep
Click on Reps, then Delete a Rep. Use this command to delete a corrupted rep file. After removing the rep, you can add it back by using the Reps Add Rep command in BOOKS™.  It can also be used when you terminate an advisor, once you have backed up all data onto an archival diskette, and reassigned all accounts.
