Tracking Clients, Prospects & Accounts (Cont.)

The Sort Name Field
The sort name field is provided so that accounts can be displayed in order of client last name. For example, you might want to see all the trades for the Jones family together if you sort the Main View Screen by account name. BOOKSä automatically generates this Sort Name for accounts in your initial Home Office Data, but on new accounts you will have to type it in yourself. For Mr. Jones in our example, the Sort Name would be Jones, Robert R., and would appear right next to his wife's account (Jones, Rolanda S.) on the account selection screen. After installing your home-office data, you should to inspect the Sort Names generated by BOOKS, since BOOKS cannot always correctly determine the last name.

Most of the other data on the account screen is available from your paper New Account form.  For data that is not, it's good to ask your client questions to fill in the other boxes. This information is useful for marketing purposes, and will become more useful as additional marketing support features are added to BOOKS. Every field on this screen is either required for compliance, or was suggested by other Registered Reps as being useful.
Note: In accordance with the requests of compliance officers, the fill-in for the Goals boxes on the Account Form is either P (for Primary) or S (for Secondary) You can check as many of these boxes as you wish. When you have completed the Account Form, click on OK to return to the Main View Screen.  For a Field by filed explanation of the Account Form, click here.
Calling Clients and Prospects
Use the Call an Account and Notes commands on the Account menu to bring up a client or prospect's phone number, (dial your phone if your computer is connected to your modem), then take notes on what the client says.
