Calling Clients & Prospects and Taking Notes

Call Clients  & Prospects (even when you don't have your phone connected to your computer)
Whether you are using BOOKS to dial your calls for you or not, you may want to use the Call Customer Command, simply because it displays the phone number on the screen, and then when you click on OK, puts up the Notes page for you to take notes on your call. You can use the telephone dialer at any time by using the special "hot key", Ctrl+D. You can also access the dialer from the Accounts menu, by clicking and pointing to Call Customer, or by using Alt+A to display the Accounts menu, then pressing C.

The Dial a Phone Number screen will appear. Using the arrow keys or the mouse, move the highlight up and down to the correct account, then press Spacebar to select. The telephone numbers for that client will appear on the screen. By default, the Work number will already be entered into the Will be dialed as box. Click on the OK button to dial the number as it is. If the area code is the same as the one you entered on the User ID Screen, the area code and "1" long distance access code will not be displayed or dialed unless you click on the boxes to include them. You can switch between local and long distance by clicking on the Local check box. An X in the box means it is a local call and the area code will not be dialed. To change anything before dialing, such as dialing or not dialing the area code, use the arrow keys or the mouse to move to those points and make your changes. Note that you can put in access codes such as 8 or 9 when dialing out through a switchboard, and a suffix such as those used in offices where you have to enter a billing code on long distance calls. When everything is the way you want it, double click on OK with the mouse. BOOKS will dial the number through your modem. When you hear the phone start to ring, pick up the handset on the telephone attached to your computer.  If your modem is not attached to the computer, simply dial the number yourself then click on OK, and hte Notes screen will appear.
Taking notes on your conversation
Unless you have changed the default, the Notes screen will appear whenever you dial a client's number or click on OK. It will show any notes that you have taken on previous conversations, and will be date and time stamped for the current call. To take notes on your conversation, just type in anything you wish on the screen. When you are through taking notes, click on OK to return to the Main View Screen.  You don't have to be agood typist.  These are your notes, and if you can read them, that is all that is necessary.      Click here for the next page.
