Use Tools - Calendar/Diary & Calculator

The Tools Menu on the Menu Bar has two commands: Calendar/Diary, and Calculator. These commands are designed to complete the desktop control that BOOKS provides, and to further reduce clutter on your desk. The Calendar/Diary keeps track of appointments and reminds you to call prospects and clients on the days that you schedule. The calculator is a normal calculator that you can operate from the keypad on your keyboard or with the mouse.  Note: If you are using BOOKS™ on a network and have only one master file and do not have individual files for the terminals, the Calendar/Diary can only be modified  on the Branch  Master computer.  User tip: If two reps are sharing one copy of BOOKS™, the calendar will have both their entries on it. If the two reps are not partners, and wish to have their own separate calendars even though they are sharing a computer, you can install a separate copy of BOOKS for each rep, in different directories.
Calendar/Diary
One of the most common tasks of the registered representative is to remember to do things on certain days, from ordering a check sent to a customer to calling a prospect who has a CD maturing. The Calendar/Diary will keep track of those items for you. If you are using one copy of BOOKS™ on a network, the Calendar/Diary can serve as a Branch calendar, tickler file and bulletin board, listing meetings and other special events. If each rep has his own copy of BOOKS™, then the Calendar/Diary becomes a tickler file for calling clients and prospects.
To use the Calendar/Diary, click on Tools on the Menu Bar, then click on Calendar/Diary, or press
Alt+T to access the Tools Menu, then press ENTER. The Calendar/Diary Window will pop up. Note that a new item on the Menu Bar has also appeared, Diary. You can click on Diary to display that menu, or press CTR+Y, and you will have visible on screen the keys needed to manipulate the Calendar/Diary.
Today's date (from your computer's clock) will be highlighted on a calendar of the current month. Other dates in the month may also have highlights. Those days are days that have a notation on them. (BOOKS has already put the production month cutoff dates into the calendar.) On the right side of the
Calendar/Diary Window is a blank area. This is the Diary section, and is where you can make your notes of appointments and things to do. To move back and forth from the Calendar to the Diary, use the mouse or Tab and Shift+Tab. Note that you are reminded of these keys on the Diary menu.
When you are on the Calendar side of the window, you can move the highlight to a certain date by using the mouse or the following keys:

  • The right and left arrow keys move you forward one day and backward one day at a time. respectively.
  • The up and down arrow keys move you back and forward one week at a time.
  • The Page up and Page down keys move you back one month and forward one month, respectively.
  • The Shift+Page up and Shift+Page down keys move you back one year and forward one year, respectively.
You can also use the mouse to move to a date. For another date within the current month, simply click on the date you want. There are forward and backward buttons
